Lead and Manage Effective Workplace Relationships
1. How do you ensure strategies and processes are in place to communicate information associated with the achievement of work responsibilities to all co-workers?
⦁ Regular meetings with co-workers to discuss their performance on the path of organizations goal achievement.
⦁ Analysis of employee performance graphs to see if they are on the right track to ensure strategies and processes floated within the organization.
⦁ Appreciating employees from time to time as intrinsic motivation will help them fulfil their responsibilities and they will put more effort to follow organizational strategies and processes (Barkhi and Hartwick,2004).
⦁ Establish a communication free zone where co-workers can meet to discuss the hurdles being faced in the process of goal achievement with each other and with their line managers also without waste of time.
2. Describe what is required to develop and implement consultation processes ensuring that employees have the opportunity to contribute to issues related to their work role.
⦁ Weekly and monthly meetups are a must where employees can interact face to face with logical reasoning as to what solutions do they have to current organizational problems.
⦁ It is required to develop an informal level of communication between line mangers and the Employees so that they can come up with their issues/solutions without any fear(Bayazit and Mannix,2003).
⦁ The communication process when it comes to issue reporting shall be smooth while allowing employees to use electronic or verbal communication without any pressure of organizational policies, as if an issue is not reported timely by an employee can create a menace for the firm.
3. What feedback would you provide to workers regarding the outcome of a consultation process?
⦁ The feedback will be positive, all the issues discussed in the consultation process maybe important for the employee and consultant both and its very important to appreciate the workers for communicating their issues or ideas about a work hurdle.
⦁ Feedback would also be that workers shall feel free to reproach the managers after the consultation process without waiting for next consultation session as a small delay can cause bigger problems (Wit et al., 2012).
⦁ It is the benefit of the organization that its employees are identifying and reporting organizational issues in the consultation process, hence the consultant needs to give positive feedback and ask workers to think up of plans that how we can better cater to the things discussed in the organizational process.
4. What do you need to consider when developing and implementing processes to ensure that issues raised are resolved promptly or referred to relevant personnel?
Firstly, a list of issues needs to be made where the mangers can make a table with all issues written against the name of workers who have reported them or are linked with those issues
A timeline of work should be made where the managers can make deadlines of solving the issues one by one. As if there are no deadlines so these issues can downturn the employees who had reported them and next time they may not even care to report the issues,
The list of issues with deadlines and name of concerned people shall be emailed and formally informed to all the associated workers and departmental managers so that a planned working can be enforced in the organization (Choi,2013).
5. We need to ensure that the organization’s cultural diversity and ethical values are adhered to. Explain how you would establish and implement appropriate policies.
⦁ An email of policies of the organization shall be sent and be signed by all the workers to acknowledge that they have been formally informed about all organization policies
⦁ There should be a summary of the organizational charter which shall be pasted on wall boards or notice boards in all departments accordingly. Respect of cultural diversity shall be highlighted as it’s the most crucial element for organizational harmony.
⦁ Training sessions to be introduced where employees can be introduced to certain cases studies and asked that being in the parameters of organizational charter how will they solve those cases for achievement of goals with balance of relationships (Clegg et al.,2015).
6. How do you gain and maintain the trust and confidence of colleagues and external contacts through professional conduct? Please also explain what not to do such as behaviors that destroy trust.
⦁ A balance of trust can be maintained with internal colleagues and external contacts with a clear communication strategy.
⦁ All internal and external stakeholders shall be informed about the positive and negative sides of business so that they can evaluate the level of risks involved in a certain project.
⦁ The firm should appreciate internal colleagues and external contacts for their performance and also identify the areas of improvements in the work
⦁ Relationships can be destroyed by hiding the information from colleagues and external contacts (Church et al.,2013).
⦁ Delaying in communication can risk the stakes of colleagues and external contacts and result in the losses/distrust.
7. How do you adjust your own interpersonal communication styles to meet the organization’s cultural diversity and ethical environment and guide and support the work team in their personal adjustment process?
⦁ The communication that I or a manager shall adapt needs to be as per the organizational culture e.g. if a firm takes inputs of its employees and appreciates them on all paths of work so I being a manager would adapt the role of a Supportive Leader who is always there for his team and works in the provided organizational parameters.
⦁ Catering to cultural diversity all communication being done by me or other managers shall be free of biasness. I would make sure that all my actions as being an employee will be according to the ethical values of the firm and humanity (Dreu,2008).
⦁ Being a manager I shall also take input from my co-workers and reporting manager that how better can I cope up with organization’s ethical standards.
8. How do you use networks to build workplace relationships providing identifiable outcomes for the team and the organization?
All the relationships formed within an organization result in benefit in the ultimate achievement of organization goals. I would try to manage my relationships and use them for benefit of my organizations e.g. if a have a good relationship with a supplier on human grounds so I would try to avail supplies from him at a discounted price so that my firm can have more margin in profitability (Dreu and Beersma,2008).
I would maintain relationships with my team members with the approach of a supportive leader where I will appreciate my co-workers for their work and also assist them with the hurdles they face, in this way there ties with me being a co-worker would be strengthened.
9. How do you conduct ongoing planning to ensure that effective internal and external workplace relationships are developed and maintained?
In the ongoing planning I would make a plan where I will mention my organizational targets and the associated people to it. In this plan I will identify that who are the key people with whom I need to improve my relationships further as they can assist me in achievement of organizational goals. There would be separate strategy for every internal and external stake holder as there are different work motives assigned with every person. I would review my relationship and ongoing projects with all the internal and external relationships and assess my direction of work with all these connections (Dreu and Weingart, 2003).
10. When you develop and implement strategies to ensure that difficulties in workplace relationships are identified and resolved, what do you need to consider?
⦁ It is to be considered that all the difficulties and hurdles are to be assigned weightage.
⦁ A manager or an employee needs to prioritize all the tasks that he needs to execute
⦁ It is to be made sure that no relationship shall be taken as unimportant as even a smallest relationship can assist to solve an organizational problem.
⦁ It is to be considered that the strategies formed shall be reviewed from time to time as with tilting situations strategies might be required to mould
⦁ It is to be considered that there is respect for all the internal and external stakeholders with appreciation of their efforts, as ignorance of a single relationship may effect overall process of goal achievement (Wit et al.,2012)
11. Establish processes and systems to ensure that conflict is identified and managed constructively in accordance with the organization’s policies and procedures?
⦁ An in house session/meeting should be called where the conflict shall be discussed with the stakeholders involved in that conflict
⦁ The basic policies of conflict solving shall be discussed between the internal and external contacts so that they can adhere to it
⦁ All the workers involved in the conflict shall be allowed to speak for 10 to 15 minutes and talk about the situation whereas others being silent. Once everybody’s turn is completed so the leading manager shall come up with a solution with a mutual calm discussion
⦁ The element of respect shall be balanced for all the people involved in the conflict and it should be dealt strategically while bring fruitful solution to it and making the relationship of the workers normal again (Wit et al.,2013)
⦁ It should be assured that the conflict shall not lead to further conflicts and organizational politics which can hamper the goal achievement process
12. How do you provide guidance, counselling and support to assist co-workers in resolving their work difficulties?
⦁ I am on a welcome note where I allow my co-worker to freely come up to me to discuss their work difficulties. I gain people’s trust first so that they are comfortable to share their difficulties and stories with me
⦁ My work relationship chemistry is supportive where I am always up to assist a co-work to achieve his/her cope up with the difficulties they are facing
⦁ If a co-worker comes up to me with a problem so I sit down with that co-worker and discuss it in details. My motive of doing so it to get to the roots of the problem and then propose a solution (Driskill et al., 2012).
13. An action plan will address any identified difficulties if developed and implemented. What needs to be in your action plan and please include as part of your response, some high level tasks, who is responsible, and the completion date.
The below action plan explains the importance of the different tasks and denotes their interdependency. The tasks below all are interconnected and if the deadlines aren’t met properly so there would be internal conflicts arising within the departments hence it’s really important for all co-workers to meet work deadlines. The ultimate motive of the below plan starts from the procurement of supplies and goes up to delivery of final product to the consumer. The motive of such organizational plans is to manage the workflow and avoid pressure build-up at the last moment of work which may harm customers and internal environment of organization (Gamero et ala.,2008).
